Dear valued customer,
Thank you so much for your interest in becoming a Cocoa Vanilla Studio stockist. We would be proud to be carried on your shelves – whether real, or virtual! If you would like to be considered for a wholesale account, please fill out the Wholesale Application, or CONTACT US – we will be happy to assist you!
Please be advised that approval is solely at our discretion, but we generally only grant wholesale accounts to genuine retail businesses who meet the following criteria. All applications are reviewed individually to ensure the business is legitimate, and meets our criteria. We reserve the right to refuse OR grant a wholesale account to applicants who do not meet our wholesale criteria. Thank you for understanding!

THESE TERMS AND CONDITIONS ARE SUBJECT TO CHANGE WITHOUT NOTICE AT OUR DISCRETION
1. Businesses must be either a retail store front (bricks & mortar), online store, kit club, retreat store, or other similar retail operation, for the purpose of reselling Cocoa Vanilla Studio products to the general public.
Retail Storefronts: We may request a photograph of the storefront, or lease agreement if we are unable to verify your business via other means.
Online Stores: All online stores are checked to be operational before wholesale access can be granted. Online stores should have shopping cart software with secure payment facilities.
Other store types are reviewed individually and approval is at our sole discretion.
2. All Australian businesses must supply their ABN (Australian Business Number)
3. All businesses must be prepared to supply a copy of their business name registration, if requested.
We only allow wholesale access to businesses of a retail nature. We do not allow wholesale access to businesses wishing to use our products for handmade products at this time (ie: custom invitations, cards, scrapbook pages, etc).
If an order is not placed within the first 6 months of registration, or after a period of inactivity, we reserve the right to terminate wholesale access. If this is the case you will need to reapply for wholesale access.
All prices are in Australian Dollars (AUD), and exclude GST. All Australian orders are subject to GST, while international orders are GST-free.
Your cart will be updated accordingly depending on your location.
Our wholesale prices are a standard 50% off RRP value. We are sure you will find our products great value for money and competitively priced!
We endeavour to keep our pricing as low as possible at all times, but due to exchange rate fluctuations, pricing and wholesale discounts may change at any time at our sole discretion without prior notice.
We accept payment via Credit Card, Direct Deposit or Paypal (pay from your bank account, Paypal balance, or credit card through Paypal).
Payment processing fees for using Credit Card and Paypal are charged at cost, and are displayed upon checkout.
Please note that orders will not be sent until cleared payment is received.
All unpaid orders will be held for 7 days. After this time, unpaid orders will be returned to stock, and a restocking fee will apply.
All unpaid orders are subject to a 20% restocking fee to cover our time and losses. Wholesale account access may be suspended until all fees are paid, at our sole discretion.
As of 1 January 2024, we have phased out the Australia-Wide Flat Rate Shipping. Actual shipping charges will now be charged.
Due to rising importation costs, exchange rates and shipping costs, we are no longer able to offer flat rate shipping to all areas of Australia.
As any small business owner in Australia knows, shipping charges have skyrocketed in recent years, especially since the onset of Covid 19.
We haven’t passed on an increase in shipping costs since June of 2016, despite many cost increases from shipping providers. As a result, we have covered the shortfall on shipping charges for many years and are unable to continue to do so. Most suppliers don’t offer flat rate shipping for wholesale, and unfortunately we have had no choice but to follow suit in order to keep our product pricing competitive and affordable.
Shipping rates are calculated for Australian addresses automatically based on weight and location. Of course, the cart calculator is never as accurate as a human packing a box, so in the case where shipping is overcharged a refund of the difference will be provided. We send via Australia Post or Aramex at our discretion.
We can also offer free local pickup from our warehouse in Nambucca Heads, NSW, by prior arrangement.

As of June 2025, we are no longer shipping to the USA due to the difficulties arising from tariffs and customs clearance procedures.
We offer international shipping to selected destinations, and charge ACTUAL COST for shipping on international orders, based on the order’s weight. We are unable to offer flat rate shipping at this time for international orders.
At this time we are unable to offer shipping calculations for couriers apart from Australia Post on our website, but we will send you a shipping quote based on the ESTIMATED packed weight as soon as possible after your order is placed.
PROCESS FOR INTERNATIONAL ORDERS:
Please select "Direct Deposit" as the payment method, and "Shipping Quote" as the shipping method at checkout so that you are not charged for the order upfront.
Please note that PAID order cancellations will incur a 20% restocking fee plus applicable payment processing fees. Therefore it is important to select Direct Deposit so that you will not be charged if you decide to cancel your order based on shipping costs.
We will then provide you with an ESTIMATE of shipping cost and available options based on the order's estimated weight via email as soon as possible. At this stage you are free to cancel your order if the shipping costs aren't suitable.
Please note that final shipping costs are only able to be able to be calculated upon packing, weighing, and preparing customs paperwork, which is why we charge a restocking fee on cancellation of paid/packed orders as this takes hours of our time.
It is important to understand that international shipping costs fluctuate greatly with fuel surcharges, weight, box sizes, days of the week, demand and many other factors, therefore shipping estimates are only valid for 7 days, after which time they can change significantly. It is therefore recommended that you pay for your order and shipping as soon as possible to ensure the price doesn't fluctuate.
Our shipping charges are for TRANSIT ONLY and DO NOT include any taxes or customs duties. International customers are responsible for any applicable duties or taxes that are charged by Customs in their country. We recommend that you research the applicable fees and charges for your country so you are aware of potential additional costs associated with your order.
Shipments that are refused/returned due to non-payment of duties or taxes are not eligible for refund of product or shipping charges under any circumstances, as it is your responsibility to fully research and understand import duties before placing your order.
We declare the ACTUAL value of the goods, and do not undervalue the declared products under any circumstances.

Most orders are packed within 1-2 Business Days. However, please allow up to 5 Business Days for processing of your order. While we endeavour to process your order as quickly as possible, many of our products are made and packaged in house and require time to prepare.
During peak periods and pre-orders, longer processing times may be required. If there are any substantial delays, a notice will be displayed advising the approximate processing time.
Orders are not processed until full payment is received.
We have a minimum first order value of $250 (excluding GST and shipping). No minimums are imposed for subsequent orders.
Customers placing first orders under the minimum may be contacted to rectify the situation at our sole discretion.
All products are sold in set wholesale quantities. Discounts are offered for ordering all items in a collection.
All of our products are designed by me, Zoe Pearn, in my home studio on the mid-north coast of New South Wales. I have over 20 years of experience designing products for the scrapbooking and fabric industry, having worked as a product designer for companies in both the USA and Australia.
Our products are designed for scrapbookers by an avid scrapbooker with a passion for design. We want to make beautiful products that will make you be proud of your creations, and as such we try and offer the best quality and innovative products through Cocoa Vanilla Studio.
Our papers are always printed in Australia, and the bulk of our embellishments are manufactured in China to keep costs low. Some of our items are hand-made or packaged right here in-house using professional equipment (and lots of love).
We have tried to keep our product pricing in line with the competition. Some of our products might be priced a few cents higher than some of the “big” companies, but keep in mind that we are a small, family-run business who does everything from the ground up. We don’t have a receptionist, we don’t have sales or logistics managers, and we don’t have a payroll the length of your arm. This means we also don’t have the “buying power” of some of the big companies, so sometimes we can’t offer rock-bottom pricing on our items.

Please note that colours may vary from computer screen to product. Colours vary from computer monitor to computer monitor depending on the colour and contrast settings on your computer monitor.
All orders are hand-picked by us, scanned to verify, and are checked for quality and correctness at the time of packing. We take great care to pack our orders to avoid damage in transit.
We cannot be responsible for items lost in transit once it leaves our hands. All orders are tracked through either the Australia Post or Aramex website, so you will be notified about updates to your parcel.
In the extremely rare event that you receive a faulty/damaged item, please make contact with us via our Contact page within 7 DAYS of receiving your order. We will endeavour to resolve the issue as quickly as possible.
Please note, we do not offer refunds or accept returns for a “change of mind”.

Collection of Your Personal Information
There are many aspects of the site which can be viewed without providing personal information, however, for access to future Cocoa Vanilla Studio Pty Ltd customer support features you are required to submit personally identifiable information. This may include but not limited to a unique username and password, or provide sensitive information in the recovery of your lost password.
Sharing of Your Personal Information
We may occasionally hire other companies to provide services on our behalf, including but not limited to handling customer support enquiries, processing transactions or customer freight shipping. Those companies will be permitted to obtain only the personal information they need to deliver the service. Cocoa Vanilla Studio Pty Ltd takes reasonable steps to ensure that these organisations are bound by confidentiality and privacy obligations in relation to the protection of your personal information.
Use of Your Personal Information
For each visitor to reach the site, we expressively collect the following non-personally identifiable information, including but not limited to browser type, version and language, operating system, pages viewed while browsing the Site, page access times and referring website address. This collected information is used solely internally for the purpose of gauging visitor traffic, trends and delivering personalised content to you while you are at this Site.
From time to time, we may use customer information for new, unanticipated uses not previously disclosed in our privacy notice. If our information practices change at some time in the future we will use for these new purposes only, data collected from the time of the policy change forward will adhere to our updated practices.
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
